Enhancing patient recall: Strategies for sustainable practice growth

Recall systems can be a powerful driver of practice success by helping keep schedules full, reducing no-shows and supporting patients in maintaining preventive care. A successful recall strategy combines automated tools with personalization, always focusing on what matters most to the patient.

 

Even the most dedicated teams can face challenges with patient recall. Help strengthen your recall efforts with the following strategies:

  • Personalize: Generic reminders often go unnoticed. When messages reflect a patient’s unique circumstances, they can strengthen the provider-patient relationship by showing your team is attentive and genuinely invested in their well-being.
  • Meet patients where they are: Communication preferences vary widely, and practices tailoring outreach across multiple channels tend to see stronger engagement. A teenager might prefer texts, while parents prefer emails they can forward. Older adults may want a personal phone call. 
  • Humanize automation: Automation can streamline workflows, but it’s important that messages feel genuine. For example, including the hygienist’s name or signing off as “Your Bright Smiles Team” can make a difference with patients.
  • Emphasize the value of preventive care: Patients may be more likely to respond when they understand why. Highlight preventive care benefits to position recall visits as a proactive health investment, rather than simply stating, “You’re due.”
  • Supporting patients with barriers to care: Some patients face challenges such as transportation issues, financial constraints, dental anxiety or demanding schedules. Help support them by offering flexible scheduling or highlighting available resources.
  • Use data to drive improvement: Tracking recall rates, no-show patterns and patient responsiveness can reveal valuable insights. If certain messages or timing aren’t yielding results, small adjustments can lead to meaningful improvements.
